General Information and Policies Update

GENERAL INFORMATION AND POLICIES:

Arrival/Checking In:

All members and guests are required to check in at the front desk. Please be prepared to take a picture and provide contact information if needed. Photographs are required as a safety measure. 

Cancelation Policies:

NOTE: Exception: Hazardous weather and extenuating circumstances taken into consideration.

  • 24-hour Lesson Cancelation Policy: Lessons canceled within 24 hours of the scheduled lesson time will be charged the standard fee. All clients/students receive a reminder email prior to the lesson.

  • 12-hour Court Time Cancelation Policy: Court times canceled within 12 hours of the scheduled court time will be charged the court time fee at the end of the day unless the court time is filled. All members and guests receive a reminder email prior to the reserved court time. This currently does not apply to pickleball court reservations. 

Court Reservations:

Court reservations may be made online and via phone for Monday-Friday, 8 am - close. Court reservations for Saturday and Sunday, 8 am - close may be made by phone only.

Demo Paddles and Racquets:

All demo paddles and racquets must be checked out and returned to the front desk after play. Loaner paddles will be reserved for clinic and lesson participants. 

Guest Court Time Policy: 

Guests may play five times per calendar year with a $5 guest fee, at which point we invite you to join the Club. If a guest plays both pickleball and tennis, it is a combined total of 5 times. This policy does not apply to clinics and lessons. 

Emergency Exits:

Emergency exits must remain closed at all times. Please use our main entrance to enter and exit the building. 

Memberships:

All memberships are paid in full at the time of purchase or renewal. Memberships are effective for six months or one calendar year from the date of joining. Memberships are non-refundable and non-transferable. 

Birchwood offers the following memberships:

Effective immediately: Please note the changes to our membership options below:

  • Junior - 18 and under

  • Individual - 19 and over

  • Couple (2) (previously husband/wife then partner) - individuals in a committed relationship, committed domestic partnership, or life partners living in the same household. Proof of address is now required.

  • Family (2+): immediate family members living in the same household. Proof of address is now required. Exception: children no longer living at home.

TENNIS POLICIES:

Junior Program Policies:

  • Payment is required at the time of registration.

  • Drop-ins are based on availability on the day of class. Please call in advance to see if there is room in the class.

  • A minimum of 4 players is required to hold a clinic.

  • Sessions may be prorated if dates missed are known at the time of registration.

  • If an individual class is missed, players may take a make-up class in a similar leveled class during the session based on availability.

  • Make-ups may not be carried over to the next session. Make-ups are based on availability.

  • Cancellations made 72 hours in advance of the session start date are eligible for an account credit. No refunds.

  • Cancellations within 72 hours of the session start date are NOT eligible for credit. Extenuating circumstances will be considered.

Adult Programs:

Drop-ins are based on availability on the day of class. Please call in advance to see if there is room in the class. Registration is strongly encouraged.

PICKLEBALL POLICIES:

Court Access:

Please be mindful of your voices when walking to and from the lobby. Noise tends to carry and can be a distraction and disruption to other members and guests. 

  • Courts 1-2 may be accessed directly from the patio. 

  • Courts 3-8 may be accessed from behind the curtains.

Court Assignments:

Please ask the front desk for your court assignment if one is not given. All reservations will be assigned to a court. Players must play on the correct assigned/reserved court for the allotted time reserved.

Court Reservations:

  • Effective January 1, 2023 members will be able to reserve courts 2 days in advance. For example, you may call Monday for a Wednesday court reservation. Guests may make day-of-court reservations.

  • All players must be listed on the court reservation prior to checking in.

  • 1-3 people are eligible for 90-minute court reservations.

  • 4 or more people are eligible for 2-hour court reservations. 

Tuesday and Saturday Open Play:

  • Registration is strongly encouraged.

  • Walk-ins may be turned away if Open Play is full.

  • For the month of December, we will be reserving courts 1-6 for open play and leaving courts 7-8 open for court reservations.

  • Open Play will have a cap of 30 people. 

Open Play Rules:

  • If you want to play open play after or before your court reservation must check-in for Open Play with the Front Desk.

  • During open play, players with all skill levels are welcome to play. Good sportsmanship is the rule.

  • Players MUST switch courts, partners, and players for every game.

  • Players MAY NOT hold a court with the same people for the duration of Open Play. Everyone must rotate on and off.

  • Open Play games played one set up to 11 points.

  • Singles are discouraged during Open Play.

  • When your game is over, proper etiquette is to exit the court behind the curtain and move to the patio area as quickly as possible. Please do not have conversations on the court when the next group is waiting to play.

  • Please limit the warm-up time to 5 minutes.

  • New players are encouraged to engage with other members, players, and guests during the Open Play.

  • Birchwood Pickleball Staff recommends calling out the score before you serve.

  • If you would like to play with a particular group of people, please reserve a court outside of the Open Play time windows.
